ReservationsReservations are made on a first-come first serve basis and are tentative until deposit and signed contract have been secured. Once signed contract and deposit has been secured your event is then guaranteed.

Payment50% non-refundable deposit is due at the time the contract has been signed. The final balance is due 14 days prior to your event. We accept cash, money orders, and most major credit cards including: MasterCard, Visa, Discover and American Express.

Weather GuaranteeIn the event of adverse weather conditions that prevent the event from proceeding as scheduled, you are entitled to reschedule your event to another date without any additional charges. If rescheduling is not feasible, a full refund of your deposit will be issued, provided the cancellation occurs at least 3 hours before the scheduled start time and before our staff has departed for your location.

Weather PolicyShould threatening weather conditions arise during setup or the event itself (including imminent rain, thunderclouds, or strong winds that could damage equipment), CineMatic Movie Club reserves the right to either delay the setup or pause the event. Our priority is to ensure the safety of our equipment and personnel, and we appreciate your understanding in these situations.

Earliest Movie Starting TimeFor optimal viewing, we suggest scheduling the start of your movie 5-15 minutes post-sunset for outdoor events. This timing ensures that our high-quality projectors display vividly against the darker backdrop. Please note that while our equipment performs exceptionally, visibility may still be affected by daylight or excessive ambient light. For daytime events, providing adequate shade is crucial to maintain screen visibility. CineMatic Movie Club is not liable for any reduction in projection quality caused by early start times or inadequate shading conditions.

Do I Need a License?If you are hosting a backyard movie screen party at your private residence for personal use, no movie license is required. However, if you plan to host an outdoor movie night in a public or semi-public setting (e.g., parks, schools, community events, apartment complexes), you are legally required to obtain a non-theatrical public performance license for the film. As the equipment provider, we are legally not permitted to obtain the license for you, the end-user. You are responsible for securing this license, which can be purchased through Swank Motion Pictures Inc. at www.swank.com. Failure to secure the proper license may result in legal consequences, and CineMatic Movie Nights is not liable for any issues arising from the client’s failure to comply with licensing requirements.

Setup/Breakdown ProceduresWe begin setup approximately 1.5 hours before sunset. Audio equipment tests will begin immediately after the screen is set up, and projection tests will commence at dusk. The inflatable screen will begin deflating 10 minutes after the end of the movie, unless otherwise specified by the customer. After the movie, all equipment will be removed within 1.5 hours. Please note that procedures may vary based on the rental agreement made with the customer. All event packages include a trained technician to stay and run the equipment.

Can I Get a Microphone?Yes, all packages come equipped with a wireless or wired microphone.

Electrical GeneratorsWe can supply the power for our equipment, giving you great flexibility in choosing locations for your event. Please make sure you discuss your power needs when booking.

Indoor UseAll of our screen packages can be used indoors.

Add-OnsWe have additional equipment available such as a popcorn machine, heaters, giant games, etc. These can be rented for an extra charge, and details and prices are available upon request.
